You’re flat out running jobs, not babysitting paperwork. Yet every new subbie means the same grind: chase a signature, send the safety pack, beg for insurance docs, wait for approval… and somehow it still slips. Let’s kill that cycle. This is a straight, practical guide to get a subcontractor fully onboarded—contract signed, inducted, insured, cleared—in under 10 minutes of their time and almost none of yours.


Why It Hurts Right Now

Follow‑up fatigue: “Did you sign?” “Upload your cert.” “Watch the induction.” Times ten subs, times every project.

Bottlenecks everywhere: Only the boss/ops lead can approve changes, but they’re on site or in transit.

Lost proof = real risk: If something goes wrong and you can’t prove induction or insurance, you’re exposed.

The Four Pillars (Automate Each, Then Stitch It Together)

1. Contracts & Scope of Works

Use a master template with merge fields (company name, ABN, rate, project ID, scope).

Generate a PDF/HTML dynamically (Google Docs + Zapier, Formstack Docs, PandaDoc templates).

Send via e-sign. On completion, auto-save to your drive with the right naming convention.

2. Safety Inductions

Audit trail: Log sign date/time/IP, quiz score, doc uploads. If WorkSafe or insurers ask, you’re covered.

Data security: Insurance docs are sensitive. Lock permissions, encrypt at rest.

Legal fit: Get your lawyer to approve the base templates once; reuse forever.

Accessibility: Mobile-first, low-bandwidth options, translations if needed.
